You can use Common Use Rooms for meetings, music practice, etc. in Student Building and Campus Plaza. You need to make a reservation for that.
What is Common Use Room?
Common Use Rooms are located in Student Building and Campus Plaza. These rooms are open to all UTokyo members (undergraduate / graduate students, teachers, researchers etc.).
You need to reserve Common Use Rooms in advance. Each person can use the room once a day for a maximum of 3 consecutive hours. If you want to use the room for a longer period of time, please consider using the room for Precedence Use or Special Use.
Type of rooms
Common rooms are categorized into Conference Room, Music Practice Room and Japanese-style Room.
Conference Rooms (会議室)
These rooms are mainly used for meetings. You can also use these for music, play rehearsals, and small presentations. Some rooms have desks, chairs, whiteboards, music stands, and pianos.

Music Practice Rooms (音楽練習室)
These rooms are mainly used for practicing musical instruments and other sound-making instruments. You can also use these for meetings. Similar to the Conference Rooms, these rooms have desks, chairs, and other goods. Some rooms are soundproofed and users can make louder sounds than in Conference Rooms.

Japanese-style Room (和室)
This room is located on the 2nd floor of the New Student Building. It is mainly used for Japanese cultural activities. There is a fire pit and a table in the middle of the room. The room is about the size of 8 mats + 2 mats and can accommodate about 10 people.
Roof-top of Campus Plaza building B (キャンパスプラザB棟屋上)
We rent a roof-top of Campus Plaza building B for free. It has a large space and is good for theatre practice.

You cannot use a room by multiple people.

Rooms other than those for individual use and Music Practice Room #2 are available for group use.
How to reserve
advanced reservation
- Submit application form (links below). We execute the drawing and send the result by e-mail.
- On the day of use, show your e-mail (or screenshot of the e-mail) at the counter. We lend the key in exchange for your student ID card.

- Check which rooms are available. check here
- Please let the counter staff know which room you would like to use. Reservations are available at the counter in the building in which the room is located.
- Fill out an application form (available at the counter).
- After the usage time starts, let the counter staff know your (group) name and the name of the room you have reserved. We lend the key in exchange for your student ID card.
Notes
- This method is available only once per person per day.
- If you use this method as a group, group member other than the applicant may also borrow the key.

You cannot reserve in advance. Please reserve on the day.
Notes
- When you reserved in advance and won’t use the room, Please submit cancel form until 7 pm the day before. If you don’t, we count it as No-show. When the percentage or number of No-show exceeds a certain level during a month, we give priority to applications from other groups (individuals) in the first and second drawings held between the 15th of the following month and the 14th of the month after the following month.
- Only UTokyo students, researchers, and teachers can borrow the key. Other University students cannot borrow the key but can use the room as the member of groups.
Tips
- Music Practice Room #2 (at New Student Building) is open for individual practice only. No reservation is required.
- When you reserve on the day, groups can borrow rooms for individuals, and vice versa.
- For those who have difficulty moving by using stairs, (e.g., wheelchair users, those with injured legs, those carrying heavy luggage, etc.), 101 is available on the 1st floor of Student Building. If you request the priority on drawing, please write it on the application form
Precedence Use (優先使用)
Certain clubs have a priority to use Japanese-style Room (和室) or Meeting Room #1 (第1会議室) due to room functional reasons.
Application for Precedence Use starts at the beginning of the school year, and after that, we will publicly announce the approved groups, a day of the week, and time. Approved clubs are able to make a reservation 7 opening days ahead of others.
Only groups which require tatami mats can have priority for Japanese-style Room, and only clubs which require electronic organ can have priority for Meeting Room #1.
In order to confirm whether those rooms are available or not, please visit our Office in the building where the room is located.
Lottery reservation system for busy seasons
During a season for a welcome party (新歓期) for the freshmen in March and April and around Komaba Festival in November, we may ask you to participate in a lottery reservation system. For further details, please check our public relations which we send by the season.
